Principles of business process automation

Working inline with technology is the need of the hour. Every business organization which wants to survive in the market cannot remain passive to technology. Automating business processes means that you are removing human interference from it. And for its proper implementation, follow the steps strictly, or else there might be a flaw in the system. And even a single deficiency in the business process automation can cause a complete system failure.

You can automate only that process of business which-

– Is repetitive,

– Does not depend on human interference,

– Needs consistency

– Has to be error-free.

These four things are a prerequisite for a business process that you want to bring to automation. Any process which either requires continuous monitoring or is not repetitive cannot be in automation, and even if they are, it will not be a successful one. Although every organization should have its unique way of following the automation process, there are some basic principles for it.

The USA approach

The USA stands for understanding, simplifying, and automating. It means that first, you must understand the process is in existence. Then you must simplify it in straightforward steps. And finally, bring that in automation. Following these steps will ensure that the complete process is not in automation and does not require any human or logical interference.

Co-operation among process

Businesses do not run with a single process; various processes are running simultaneously. And for the smooth running of the company, every means must be in line with the other one. It will not only ensure proper flow but will help the workforce understand the working of the business.

Consistency

The process which you want to be in automation must be consistent before and after it. It implies that an inconsistent process cannot be automatic and vice versa. It will ensure the proper running of the process and business itself. The consistency between the output from and input for other methods is necessary.

Not all should be automatic

It would help if you took care that all processes cannot be automatic. There has to be a human intervention in one or the other method. It will help in keeping the automated processes in line with other ones. Human intervention is essential because, in the absence of it, the automatic ones may not give their best output.

Incorporate changes

The business will not always be the same. The automatic process should be flexible enough to incorporate the recent changes in the industry. It will ensure the updating of the process and a more robust solution towards the problems. A critical aspect of having flexibility is, you don’t have to pay for automation again and again.

Staff training

After automation, you must give your staff training, so they know how to work with the unfamiliar process and be more efficient. Not all employees are technically sound and can adjust to the latest technology. So, for better coordination among people and technology, training is necessary.
